There are many tools that people use to handle their day to day operations to manage their lives and their company. Friends, family, and colleagues often ask me, “Woody… How do you manage to keep your client files, social media accounts, and accounting records so well maintained?”; Today I decided to share my secret not only with them, but with all our loyal readers. We keep everything in line for our agency with the help of a small company who offers services that pack a big punch. A good bit of our firms operations are put into several programs designed by a company called AdventNet Inc. They are the creators of The Zoho Suites. Their software is crafted out of passion, while spending years mastering their craft. Below are the top Zoho suites that I personally use to maintain WJ Enterprises day to day operations.

Zoho CRM
gives you a 360-degree view of your complete sales cycle and pipeline. You are able to identify trends, opportunities, increase efficiency, and reduce costs. Using Zoho’s CRM you are able to have that “Set it and forget it” mindset. You are able to automate your day-to-day business activities so that you can focus on selling, not on maintaining data. You are able to integrate Google Apps, Facebook, Twitter, other CRM platforms, and many more. You are able to communicate with your customers and potential customers via e-mail, phone, chat, and social media all within your CRM account. That way you are never left in the wind on who spoke to whom, what was said, or if a follow up was ever made. Zoho CRM’s Opportunity Tracking tool gives you a current, comprehensive view of all your sales activities. Know where every customer is in the sales cycle; deal size, contact history, even competitor information to help craft more effective messaging. Dynamic Reports & Dashboards provide an easy, accurate read of everything going on.

Social media marketing plays a key factor in any business, especially a marketing firm that believes in brand awareness. Next tool on our list is Zoho Social, a platform that allows you to manage multiple social networks, schedule unlimited posts, monitor keywords, and collaborate with your team. All from a single dashboard! There is nothing better than having the ability to publish your content when your audience is more likely to see it. While being able to monitor if your company is mentioned online, to help increase engagement between both your current clients and potential clients. One of the biggest things that helps me with our company’s social media accounts is that Zoho Social allows us work as a team and collaborate on ideas and also tag team members and assign them to certain inquiries. We are able to gain meaningful insights about our brand’s social media presence with visual reports with basic stats or dive deeper to understand our brand’s performance with detailed analytics. Being a Zoho Social power user we were given advice notice to the new Instagram tool that was release and the amazing features that came with it. In an industry that relies heavily on keywords, we are able to discover new content and build our audience. We can also filter published posts by how recent they are or popularity. Not knowing how our audience was engaging with our post, Zoho Social took away that uncertainty by providing us with a of all our Instagram followers lets you see how they’re engaging with our content.

Although I am not the most tech savvy person in the world, we have been working with the support of Zoho AppCreator to create an internal company application. We are developing an application that will help our team to handle there day to day operations in the field to capture leads, update accounts, and view day to day task custom to our agency. The data on the apps are stored in the cloud, giving us the ease of mind that we will not lose information collected nor would it be compromised. We are able to set up workflows, rules, and schedules that catered to our business’s needs. With their help we are able to keep our development costs low. We only had to build one app and it was available on the iOS, Android, and Windows market. Allowing us to use it on any mobile device including phones and tablets. Having to give certain members of management, we have created account restrictions based on the user’s clearance. All and all, Zoho AppCreator gives us the ability to have custom apps for our company without having to deal with the extra complexity that comes with it.



Having to keep up with reports (Sales, Commission, New Potentials, ect) can sometime be a headache at times. Having Zoho Reports keep all our reports in line with just a few clicks of a mouse. Using Zoho Reports we are able to visually analyze all business data and create insightful reports and dashboards. From there we are able to make informed business decisions to implement new policies and practices. With us already using Zoho Suites we are able to integrate all our data across the board. Connecting our data in the cloud or in-house. Zoho Reports combines multiple reports into a single beautiful dashboard, with just a drag-and-drop. You can insert images, formatted text, widgets and web components in a flexible designer layout. It makes it easier for our executives/users to track KPIs (Key Performance Indicators) effectively. At the end of the day we were able to quickly setup our own reporting portal/website under our brand, with fully re-branded reports and dashboards.


And finally the most important tool of all is Zoho Books. This software is easy-to-use, online accounting software designed for small businesses to manage their finances and stay on top of their cash flow. Zoho Books is a double entry accounting system which automatically creates a journal, moves money from one account to another, and appropriately applies debits and credits. Zoho Books helps create key financial reports like Profit and Loss, Balance Sheet, and Trial Balance to see how your business is performing. We manage all our projects in a single place. Because WJ Enterprises manages multiple projects, tracking time is one of our highest priorities. We are able to manage multiple time sheets bill them to clients instantly. Understanding your business performance is the key to growing your business. The powerful analytics in Zoho Books helps us see receivables, payables, cash flow, income, and expenses right from your dashboard. Track sales by item, customers, and salesperson. We love how it helps us stay up-to-date on your outstanding invoices and bills but also our profits as well.
